Set up your account, learn the dashboard, and create your first products and orders.
Adding Your First Product
Create Your First Product Products are the foundation of WareSquared. Here's how to add your first one. Step 1: Navigate to Products Click Products in the top navigation bar, then click the + New Product button. Step 2: Fill in Product Details Field Description Required? Name Product name (e.g., "Blue Widget") Yes SKU Unique stock-keeping unit code Yes Barcode UPC, EAN, or custom barcode No Category Product category for organization No Weight Product weight for shipping No Cost Your cost per unit No Step 3: Set Pricing Under the Price Tiers section, you can set different prices for different customer types: Retail — Standard selling price Wholesale — Discounted price for bulk buyers Custom — Any custom tier you define Step 4: Add Images Drag and drop product images or click to upload. The first image becomes the primary display image. Step 5: Save Click Create Product to save. You'll be redirected to the product detail page where you can: Add variants (sizes, colors) Set reorder points Assign to a supplier View stock levels across warehouses Tip: If you have many products, consider using the CSV Import feature instead. Go to Products → Import CSV to bulk-upload your entire catalog.
Creating Your Account
Welcome to WareSquared Getting started with WareSquared takes just a few minutes. Here's how to create your account and get up and running. Step 1: Sign Up Visit the WareSquared homepage and click Get Started Enter your email address and create a password Choose a Company ID (subdomain) — this will be your unique URL (e.g., yourcompany.waresquared.com) Enter your company name Click Create Account Step 2: Verify Your Email Check your inbox for a verification email and click the confirmation link. If you don't see it, check your spam folder. Step 3: Choose Your Plan After verification, you'll be prompted to select a plan: Plan Best For Key Features Starter Small businesses Products, stock tracking, invoicing Growth Growing teams + Orders, customers, pick lists, receiving Pro Advanced operations + Transfers, cycle counts, lot tracking, marketplace You can upgrade or downgrade at any time from Settings → Billing. Step 4: Complete Onboarding The onboarding wizard walks you through initial setup: Company information Your first warehouse Interface mode (Simple or Advanced) Tip: Start with Simple mode if you're new to warehouse management. You can switch to Advanced mode later from Settings to unlock WMS features like transfers, cycle counts, and lot tracking.
Creating Your First Order
Place Your First Order Orders in WareSquared track sales from creation through fulfillment and delivery. Step 1: Start a New Order Click Orders in the navigation, then click + New Order. Step 2: Select a Customer Choose an existing customer from the dropdown, or leave blank for a walk-in sale. Step 3: Add Line Items Search for products by name or SKU Select the product Enter the quantity The price auto-fills from your price tiers Repeat for additional items Step 4: Review & Submit Review the order summary including: Line items and quantities Subtotal, tax, and total Shipping address (if applicable) Click Create Order to save it as a Draft, or Confirm Order to move it directly to confirmed status. Order Workflow Orders flow through these statuses: Status Meaning Draft Order created but not yet confirmed Confirmed Order is confirmed and ready for fulfillment Processing Pick list created, items being picked Shipped Order has been shipped to customer Delivered Customer has received the order Cancelled Order was cancelled Next Step: Once an order is confirmed, you can generate a pick list from the order detail page to begin fulfillment. Customizing Your Features
Choose What You Need WareSquared lets you enable exactly the features your business needs. Instead of an all-or-nothing approach, you can toggle individual feature modules on or off from Settings > Features. Turning off a feature hides it from your navigation but never deletes your data. Your orders, inventory, locations, and all other records are preserved. You can re-enable any feature at any time and everything will be exactly as you left it. Core Features (Always On) These features are always available regardless of your plan: Dashboard with key metrics Products catalog with variants and custom fields Customers database Settings and team management Tip: Start with just the features you need today. Dashboard Overview: Key Metrics and Widgets
Your Command Center The Dashboard gives you an at-a-glance overview of your entire operation. Here's what each section shows you. Key Metrics At the top of the dashboard, you'll see summary cards showing: Total Products — Number of active products in your catalog Total Orders — Orders across all statuses Low Stock Items — Products below their reorder point Pending Shipments — Orders awaiting fulfillment Recent Activity The activity feed shows the latest actions across your account: New orders placed Stock movements Shipments completed Low stock alerts Quick Actions Use the quick action buttons to jump directly to common tasks: New Order — Create a sales order New Product — Add a product to your catalog Receive Stock — Log incoming inventory Tip: You can customize which widgets appear on your dashboard from Settings → Dashboard Widgets. Filtering by Date Use the date range selector to view metrics for specific time periods — today, this week, this month, or a custom range.
Reports and Analytics Dashboard
Understanding Your Business with Data WareSquared's dashboard provides at-a-glance metrics and customizable widgets to monitor your operations. Role-Based Visibility Some widgets require specific permissions: Inventory widgets — visible to users with product management access Revenue widgets — visible to admins and managers Customer widgets — visible to users with customer management access Tip: Start with stat cards at the top for quick KPIs, then add trend charts below for deeper insights. Troubleshooting Common Issues Quick solutions for the most frequently encountered problems. Login Problems Issue Solution "Company not found" Verify you're using the correct Company ID (subdomain) Forgot password Click "Forgot Password" on the login page to reset via email Email not verified Check your inbox (and spam) for the verification email Mobile App Issues Issue Solution Camera not working for scanning Check app permissions in your phone's Settings → allow Camera access Data not syncing Verify WiFi/cellular connection. Pull down to force refresh App shows stale data Log out and log back in to force a full sync Inventory Discrepancies If your system quantities don't match physical counts: Run a Cycle Count on the affected locations Review the Stock Movements Audit Trail for unexpected changes Check if receiving was completed for recent shipments Verify no pending transfers are in transit Orders Stuck in Processing Verify a pick list has been created and assigned Check that all items have sufficient available stock Look for short-pick holds on the order CSV Import Failures Ensure required columns exist: Name and SKU at minimum Check for duplicate SKUs in the file Verify file encoding is UTF-8 Remove any special characters from column headers Payment Gateway Errors Verify API credentials are correct in Payment Gateway Setup Check that the gateway is set to the right environment (sandbox vs. production) Ensure at least one gateway is marked as Default Tip: When contacting support, include the error message, the page you were on, and steps to reproduce the issue. Finding Your Way Around WareSquared uses a top navigation bar to organize all features into logical groups. Switch modes anytime from Settings → Company Settings → Interface Mode. Search Use the search bar at the top of most pages to quickly find products, orders, or customers by name, SKU, or order number.
