How Do I Set Up Multiple Warehouses? WareSquared supports multiple warehouses, making it easy to track inventory across different storage locations, retail stores, or distribution centers. Adding a Warehouse Go to Warehouse in the navigation Click Warehouses → + New Warehouse Fill in the details: Field Description Name Descriptive name (e.g., "Main Warehouse") Code Short unique code (e.g., "MAIN-DC") Type Storage, Retail, Distribution Center, Cold Storage Address Physical address Active Enable/disable the warehouse Click Create Warehouse Warehouse Types Type Use Case Storage Traditional warehouse or storage unit Retail Brick-and-mortar store with on-hand inventory Distribution Center High-volume fulfillment facility Cold Storage Temperature-controlled storage After Creating a Warehouse Once created, you should: Add locations — Create shelves, bins, and zones within the warehouse Assign products — Start receiving inventory into locations Set as fulfillment source — Choose this warehouse when creating orders Tip: Even if you only have one physical location, creating a warehouse lets you use WMS features like locations, transfers, and pick lists.
Location Hierarchies
Building Your Location Structure Locations represent specific storage spots within a warehouse — from zones down to individual bins. Location Hierarchy Locations can be nested to reflect your physical layout: Warehouse └── Zone (e.g., "Zone A - Receiving") └── Aisle (e.g., "Aisle 1") └── Shelf (e.g., "Shelf A") └── Bin (e.g., "Bin 01") Creating Locations Go to Warehouse → Locations Click + New Location Select the Warehouse Optionally select a Parent Location (to nest under) Fill in: Field Description Code Short unique code (e.g., "A1-S3-B02") Name Descriptive name Type Area, Aisle, Shelf, Bin, Pallet Position Zone Receiving, Storage, Picking, Shipping Pickable Can items be picked from here? Receivable Can items be received here? Location Types Type Description Area Large section (receiving dock, staging area) Aisle Row of shelving Shelf Individual shelf unit Bin Specific compartment on a shelf Tree View Use the Tree View button to see your entire location hierarchy visually. This helps verify that your structure matches your physical warehouse layout. Tip: Use a consistent naming convention for location codes. A pattern like ZONE-AISLE-SHELF-BIN (e.g., "A-01-C-04") makes it easy for pickers to navigate.
Multi-Warehouse Operations
Managing Multiple Warehouses Running multiple warehouses? Here's how to manage inventory across all your locations. Viewing Stock Across Warehouses On any product's detail page, the Stock Levels section shows inventory at each warehouse: Warehouse Available Reserved Total Main DC 150 12 162 Retail Store 8 0 8 Cold Storage 45 5 50 Transfers Between Warehouses Use Transfers to move inventory: Go to Warehouse → Transfers Click + New Transfer Select From Warehouse and To Warehouse Add products and quantities Submit the transfer See Inter-Warehouse Transfers for the full workflow. Order Fulfillment by Warehouse When creating an order, select which warehouse should fulfill it. The system checks stock at that specific warehouse. Inventory Reports Use the stock reports to compare levels across warehouses and identify where to redistribute inventory for optimal fulfillment. Tip: For businesses with retail locations and a central warehouse, set up regular transfers to keep retail shelves stocked from your main storage.
Pallet Management
Managing Pallets in Your Warehouse Pallets are containers for grouping inventory items at a specific location, each with its own tracking number for efficient warehouse operations. Pallet Statuses Status Description Active Pallet is in use at a location In Transit Being moved between locations or warehouses Staging Prepared for shipment or transfer Picked Items have been picked from this pallet Empty No inventory items remain Damaged Pallet is flagged for inspection or disposal Creating a Pallet Go to Warehouse → Pallets Click + New Pallet Select the Warehouse and Location Enter a pallet number (or let the system auto-generate one) Optionally set dimensions (length, width, height) and max weight Click Create Moving Pallets Use the Move action to relocate a pallet and all its inventory to a different location. This automatically creates stock movement records for every item on the pallet. Viewing Pallet Contents The pallet detail page shows all inventory items including product name, lot number, quantity, and location. Use this for quick physical verification during receiving or shipping. Note: Pallet management is an Advanced Mode feature. Enable it in Settings → Interface Mode. Warehouse Settings
Configuring Your Warehouse Fine-tune how each warehouse operates through per-warehouse settings and company-wide defaults. General Settings Edit a warehouse's settings from Warehouse → Warehouses → [Select Warehouse] → Edit: Name and Code — Update identifying information Type — Change warehouse classification Address — Physical address for shipping labels Active — Enable or disable the warehouse Company-Wide Warehouse Settings Go to Settings → Warehouse to configure defaults that apply across your entire operation: Inventory Thresholds Setting Default Description Low Stock Threshold 10 Units below which a product is flagged as low stock Stock Calculation Method Fixed How low-stock thresholds are evaluated (Fixed or Velocity-based) Velocity Window (days) 30 Number of days used for velocity-based stock calculations Picking & Fulfillment Setting Default Description Default Picking Strategy FIFO Strategy used when creating pick lists without specifying one Available strategies: Strategy Description FIFO First In, First Out — oldest stock picked first FEFO First Expired, First Out — soonest-expiring picked first Nearest Pick from locations closest to the shipping area Manual User chooses pick order Expiration Alerts Setting Default Description Warning Days 30 Days before expiration to trigger a warning alert Critical Days 7 Days before expiration to trigger a critical alert These thresholds control the daily expiration monitoring job. Adjust them based on your industry — for example, a medical supply company may set critical days to 14 or higher to allow time for action. Auto-Reorder Setting Default Description Auto-Reorder Enabled Off Automatically generate draft purchase orders when stock drops below reorder points Default Lead Time (days) 14 Expected delivery days used for auto-generated POs When enabled, WareSquared checks stock levels daily and creates draft purchase orders grouped by supplier for any products below their reorder point. Default Warehouse You can set a default warehouse that auto-selects when creating new orders. Go to Settings → Company Settings to configure. Tip: Different industries need different defaults. A med spa should use FEFO picking and longer expiration warning windows, while a distribution company may prefer FIFO with auto-reorder enabled. Zones and Bin Management
Organizing with Zones Zones help you logically organize your warehouse into functional areas. Standard Zones Zone Purpose Receiving Where incoming shipments are unloaded and inspected Storage Main inventory storage area Picking Optimized area for order picking Shipping Staging and packing for outbound orders Zone-Based Operations When zones are configured: Receiving directs incoming stock to receivable locations Pick lists pull from pickable locations in the picking zone Transfers move items between zones (e.g., storage → picking for replenishment) Bin Capacity Each bin can optionally have capacity limits: Max Weight — Weight limit for the location Max Pallets — Number of pallets that fit These limits help prevent overloading and aid in putaway decisions during receiving. Active/Inactive Locations You can deactivate locations that are temporarily out of service (maintenance, reorganization) without losing the data. Inactive locations won't appear in pick lists or receiving suggestions.
